GR/IR Review and Clean-Up

GR/IR Review and Clean-Up for Companies on SAP

If your GR/IR account has a balance that nobody in the finance team can fully explain, that’s the problem we work on at PT Cakra Mandala Dirga.

It usually looks like this. Year-end is close, the auditor asks for a GR/IR listing, and someone pulls the ledger. Four thousand lines. Some are two weeks old, some are from three years ago, and nobody remembers which ones are real. The close slows down, and the account ends up on the audit findings list anyway.

We’ve sat on the finance side of that conversation many times. Now we help other teams get out of it.

What We do

1. A listing your auditor can actually use. We take the open items from the GR/IR account and match them to purchase order history. Every line gets a status: goods received and not invoiced, invoiced and not received, quantity difference, price difference, or old and unexplained. You get an Excel file sorted by age and by vendor, with the PO references already attached.

2. Proposed clean-up journals. For the items that really need correcting, we propose the journal, with the reason and the supporting evidence next to it. Your team reviews, your controller approves, and you post. We don’t post anything in your system.

3. A repeatable knock-off. We set up the matching logic as a file or script, so next month you refresh the data and see right away what cleared on its own and what is stuck. No more starting from zero every close.

4. Controls and ownership. Often the balance keeps growing because the process upstream is loose: late goods receipts, invoice blocks nobody watches, tolerances that are too wide. We can review the setup and propose simple rules, such as who follows up on which item, what aging triggers an escalation, and which KPI to report each month.

5. Year-end accrual check. A review of goods received but not yet invoiced, to make sure the accrual at cut-off makes sense.

6. Before a system migration. If you’re moving to S/4HANA or changing systems, it’s much cheaper to clean GR/IR before cut-over than after.

Not every company needs all six. Most start with number 1, and the rest follow from what the listing shows.

How it works

  1. We talk for 30 minutes. You tell us what the auditor asked for, or what’s bothering you.
  2. Your team sends us two exports: the open items of the GR/IR account (from FBL3N) and the PO history. We’ll tell you exactly which fields we need.
  3. We send back the listing and a short memo in plain language: what I found, what looks wrong, what I recommend.
  4. We go through it together. You decide what gets corrected.

Turnaround: To be further discussed, but usually 5 working days.

What we won’t do

We won’t write off a balance just because it’s old. Goods that were received usually mean a real obligation, and releasing it to the P&L is exactly what auditors question. Anything we suggest clearing comes with evidence: vendor confirmation, a cancelled PO, a documented reason.

We also don’t need access to your SAP system. Exports are enough, and we treat your data as confidential.

Not on SAP?

If you use something like Xero, there’s no goods receipt step to match against. The same problem still exists, it just hides in accruals and unpaid bills. We can set up a simple manual routine that does the same job: a receiving log, a month-end accrual, and a reconciliation list.
